Data Maintenance

Silverpoint believes that clients should use the data maintenance process that fits their unique systems and budgets.

Keeping data synchronized and up to date is one of the many challenges facing schools as they work to consolidate and maintain their data. Allowing students, alumni, parents, faculty and staff to update their personal information on the school website requires careful consideration of how a school's various data repositories can and should work together.

In cases where information is updated infrequently or the number of records in a directory is small, manual updates made by school staff will often suffice. Larger record sets that are updated more frequently, and where updates are made to different systems which must be rectified, will require a solution tailored to a school’s database use, configuration and internal processes. Silverpoint is committed to working with its clients to ensure the solutions provided suit their individual needs and budgetary constraints. Options include:

Manual Updates

Clients have the ability to update individual records directly within Silverpoint SchoolSuite(r). So if a school receives a notification that a family or alumni has changed address, a school administrator with appropriate SchoolSuite access permissions can change the constituent’s directory information using SchoolSuite.

Updates on Demand

Some clients choose to update directory information periodically (once a quarter) or episodically (when a class matriculates or graduates). Typically, these clients simply provide Silverpoint with a new complete set of directory data for Silverpoint to load.

Recurrent Data Processing

Clients who wish to ensure that their directory data on the website is up-to-date within a more recent timeframe, say weekly or monthly, will find that it makes economic sense to have Silverpoint spend time establishing a framework called a Recurrent Data Processing Plan (“RDPP”) that significantly reduces the time required to refresh data. To put such the RDPP in place, Silverpoint does the following:

  • Works with a client’s technology staff to establish a standard data export process from the client’s system of record
  • Adds the client’s constituent IDs from the system of record to the SchoolSuite database if custom data and settings need to be preserved
  • Develops custom database scripts to load data in a repetitive and efficient manner
  • Provides reports on data cleanliness issues and changesets
